Phocas pricing: what drives the cost
Phocas does not publish a price list. Here is what drives a Phocas quote, what to ask before you sign, and the alternatives for forecast against actuals that do publish their prices.
Checked 28 October 2026. Forebrite is one of the alternatives on this page. If something is wrong or out of date, tell us and we will fix it.
Short answer. Phocas prices each business by quote, after a demo. The cost depends on how many people use it and how, which modules you take, how many systems you connect and how much implementation you need. We have not seen a Phocas quote for a typical $10m to $100m business, so we do not guess at a number. Starting figures on listing sites are not published by Phocas.
What drives a Phocas quote
- Users. How many people use it, and what each of them needs to do. ERP Research lists users, modules and connectors as what drives the quote.
- Modules. Phocas sells Analytics, Budgets & Forecasts, Financial Statements, Rebates and CRM. Tracking a forecast against actuals uses Budgets & Forecasts with Financial Statements.
- Connectors. The number of ERP and other systems you connect. Phocas names 54 connectors on its integrations page.
- Implementation. Phocas connects the data. Phocas says most businesses are fully connected in 6 to 8 weeks, and the first budget model can take longer. After that, your team maintains the models.
What to ask before you sign
- The price per user for each licence type, and any minimum number of users.
- Which modules forecast against actuals needs for your business, and the price of each.
- The implementation fee, what it covers and how long it takes.
- The contract term and how much the price can rise at renewal.
- Whether each of your systems has a standard connector, or needs a custom one at extra cost.
- Who builds and maintains the forecast models after go live, and what Phocas charges if you want them to do it.
- Whether Ask Phocas and other AI features are included or extra.
Alternatives that publish their prices
| Option | Published price | What it covers |
| Xero Comprehensive | A$107 a month inc GST | Accounting with a 90 day cash flow forecast, for one organisation |
| Spotlight Business | A$65 a month for one organisation, A$329 for ten, ex GST | Reporting, budgets and forecasts from the accounting ledger |
| Calxa Premier5 | A$341 a month inc GST | Budgets, cash flow and reporting from the accounting ledger |
| Calxa Enterprise | A$1,980 per tenant a month plus A$3,300 implementation, inc GST | The same, connected to NetSuite, Business Central, Sage Intacct or Acumatica |
| Power BI Pro | A$21.00 per user a month, paid yearly, ex GST | The licence only. Someone has to build and maintain the reports |
| Forebrite | $5k, then $15k, then $1k p/m + infra, AUD | Forecast against actuals across accounting and operational systems, built and kept running for you, in your own AWS account |
The ledger tools are the cheapest by far and are a good fit for a single company that only needs a P&L forecast. They work from the accounting ledger, so operational numbers such as orders, sites or freight have to be imported.
How Forebrite works
Forebrite builds a forecast against actuals dashboard on your own systems, your accounting and your operational data, and keeps it running for you. You need no data team and no one inside the business to learn a tool.
- Your infrastructure, your data. It runs in your own AWS account, and you hold a licence to the code for your own business.
- Build on it. Because it runs in your account, you can add your own tools and workflows on top, not only a dashboard.
- Accounting and operations together. Orders, sites, freight and hours sit next to the P&L, so a variance can be traced to its cause.
- 30 days to live. Phase 1, days 1 to 14: your key metrics, your forecast mapped to its drivers, a data dictionary and a prototype dashboard on your own numbers, for $5k. Phase 2, days 15 to 29: the build, for $15k. Then $1k p/m + infra. Prices in AUD.
- Built by the founder. Vlad Mehakovic builds and runs it with you.
